Our role

For website visitors, prospects, customer contacts, and account users, Team HQ LLC generally decides why and how personal information is used.

For driver and workforce records placed in Alakili by a customer, the customer controls the data and Alakili processes it to provide the service. Drivers should direct requests concerning those records to their employer. See our Product Privacy Notice.

Information we collect

We may collect:

• Contact and business information: name, business email, phone number, company, job title, delivery station, and information you provide in enquiries, demos, sales calls, or support requests.
• Account information: username, authentication information, role, permissions, preferences, and account activity.
• Billing information: billing contact, address, subscription, invoices, and payment status. A payment provider, if used, processes card details.
• Technical and usage information: IP address, browser, device, operating system, referring page, pages viewed, buttons or links clicked, approximate location derived from IP, and diagnostic information.
• Communications: emails, support tickets, live chats, call notes, and SMS delivery information.

We use cookies and similar technologies as described in our Cookie Notice. If you consent to Statistics cookies, PostHog may create a replay of how you navigate and interact with our website or application. This is a reconstruction of page activity, not a video from your device. On the public website, input fields are masked and sensitive and form pages are excluded. In the authenticated application, all displayed text and inputs are masked. We configure replay not to collect what you type, network contents, or console logs.

Do not send sensitive personal information through website forms or support channels unless we specifically ask for it through an approved process.

How we use information

We use personal information to:

• respond to enquiries, provide demos, and manage sales;
• create, secure, administer, and support accounts;
• provide, maintain, troubleshoot, and improve Alakili;
• process subscriptions, invoices, and payments;
• send service, security, and administrative communications;
• send business marketing communications, subject to applicable law and opt-out rights;
• understand website and product usage;
• prevent fraud, abuse, and security incidents; and
• comply with law and establish, exercise, or defend legal claims.

Where European or UK data protection law applies, our legal bases may include performance of a contract, legitimate interests in operating and securing a B2B service, consent for optional cookies or marketing where required, and compliance with legal obligations.

How we disclose information

We may disclose information to:

• vendors that host or support our website, platform, communications, analytics, CRM, support, and billing;
• professional advisers such as lawyers, accountants, insurers, and auditors;
• authorities or other parties when required by law or reasonably necessary to protect rights, safety, and security; and
• a buyer, investor, or successor in connection with a financing, merger, acquisition, restructuring, or sale of all or part of our business.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising and do not currently use targeted-advertising cookies. If that changes, we will update this policy and provide required choices before enabling those tools.

Vendors that may process customer data to provide Alakili are identified on our Subprocessors page.

International processing

Our services are hosted in the United States. Authorized personnel and contractors, including personnel in Kenya, may access information when needed to develop, operate, secure, and support Alakili. We use contractual, organizational, and technical safeguards appropriate to the information and applicable law.

Retention

We retain information only for as long as reasonably needed for the purposes described above, including to provide the service, maintain business and security records, meet legal and accounting requirements, and resolve disputes.

Customer account and platform data is retained during the subscription and handled after termination as stated in the customer agreement and Product Privacy Notice. Cookie and analytics retention is described in the Cookie Notice.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information. These include encryption in transit and at rest and role-based restrictions on production access. No system can be guaranteed completely secure.

Your choices and rights

• Marketing: use the unsubscribe link in an email or contact us.
• Cookies: use the Cookie settings link in the website footer.
• Privacy requests: depending on where you live and how the information is used, you may have rights to access, correct, delete, or obtain a copy of personal information, or to appeal a denied request.

Send requests to privacy@alakili.com. We may verify your identity and may retain information where permitted or required by law. If your request concerns workforce information controlled by your employer, we will direct it to the relevant customer.

We may update this policy. We will post the revised version with a new date and provide additional notice where required.
